Welcome Desk Administration Assistant (Student)

Purpose of Post:

To provide an effective administration and advice service on behalf of uea(su) in an efficient, professional, and confidential manner. This role will ensure we are compliant within our administration as well as being the first port of call for our stakeholders on various queries as well as ensuring effective running of Union House.

Key Responsibilities:

Responsibilities will include, but not limited to:

  • Act as the first line of contact, providing a meet and greet service, with a welcoming attitude for all queries, relating to our members and the public; including, but not limited to Student Groups, UEA and customers.
  • Take ownership and be accountable for ensuring all communication queries are processed and responded to accurately, ensuring we are signposting where possible and in line with the set Service Level Agreements, prioritising as appropriate. This includes phone, email, post and any other communication that may be received.
  • To maintain high of cleanliness and organisation at the Welcome Desk, office space, bookable rooms and the Hive as well as any other areas as deemed appropriate.
  • To effectively assess the need and operate the booking systems for meeting rooms, stalls, and other spaces within Union House and on campus as required. Reviewing and approving low risk, risk assessments where permitted. Where required, seeking guidance from a member of the relevant team for support.
  • Maintain the safety of Union House where possible; including but not limited to signing in contracted workers, issuing permits, locking and unlocking relevant spaces and ensuring fire exits are clear. 
  • Effectively undertake regular stock takes to assist in the effective running of Union House and the office.
  • Ensure purchase orders are raised and invoices are accurately processed for office equipment where permitted.
  • Continuously review and make recommendations on how to improve current systems, processes, and procedures. Implementing the changes as directed by senior member of the team
  • Provide accurate and confidential scanning, indexing and other general administrative tasks. Ensuring the Privacy Policy, GDPR and any relevant policies are adhered to, escalating to a member of the team if required
  • Provide project support where required by your line manager.
  • To uphold all policies dictated by the Union including data protection, health, and safety.
